Terms of Service

These terms apply to our website and to the online tuition, courses and mentoring we provide. Please read them before you book.

Effective date: · Last updated:

1. Introduction

Welcome to My Subject Hub Academy (“we,” “our,” “us,” or “the Academy”). These Terms of Service govern your access to and use of our website, online tuition services, educational courses, tutoring sessions, and related services.

My Subject Hub Academy provides online academic tuition, subject-specific instruction, programming and Computer Science education, and educational mentoring for eligible learners.

By accessing our website, submitting an enquiry, booking a session, enrolling in a course, or using our services, you acknowledge that you have read and understood these Terms of Service and agree to be bound by them.

If you do not agree with these terms, please do not use our services.

2. Eligibility and Parental Responsibility

Our services may be available to school students, college students, university students, and adult learners, depending on the course or service.

  • Individuals aged 18 or older may use our services on their own behalf.
  • Students under 18 must have the involvement and consent of a parent or legal guardian where required by applicable law.
  • Parents or legal guardians who arrange services for minors are responsible for providing accurate information, reviewing relevant service arrangements, and supervising the student's use of our services as appropriate.
  • Users must provide accurate and up-to-date information when making enquiries or enrolling.

We reserve the right to request confirmation of parental or guardian consent when reasonably necessary.

3. Our Educational Services

Depending on availability and the specific arrangement, My Subject Hub Academy may provide:

  • Academic tuition for school, college, and university subjects.
  • Examination preparation and subject-specific support.
  • Programming and Computer Science instruction.
  • Courses covering topics such as programming fundamentals, object-oriented programming (OOP), data structures and algorithms (DSA), and cybersecurity education.
  • Educational guidance, project planning, and technical mentoring.
  • Tutor matching, introductory sessions, and other educational services that we may offer from time to time.

The availability, curriculum, teaching format, duration, tutor, schedule, and price of each service will be communicated before a paid arrangement is confirmed.

We may modify, introduce, or discontinue services when reasonably necessary. Where a change materially affects an existing paid arrangement, we will seek to communicate the change and agree on an appropriate solution with the customer.

4. Tutor Matching and Availability

We aim to match students with suitable tutors based on the student's subject, academic level, learning objectives, schedule, language preferences, and other relevant requirements.

Tutor matching is subject to actual tutor availability and suitability. We do not guarantee that every requested subject, curriculum, tutor gender, time slot, or specialized course will always be available.

Tutor profiles, qualifications, experience, and other background information will be presented as accurately as reasonably possible. Customers should contact us if they require clarification about a tutor's qualifications or suitability before confirming an arrangement.

5. Enquiries, Bookings, and Enrolment

Submitting an enquiry or contacting us through our website, email, WhatsApp, or another communication channel does not automatically create a confirmed booking or enrolment.

A booking or enrolment will be considered confirmed when the relevant service details have been agreed upon and any applicable registration or payment requirements have been satisfied.

Customers are responsible for reviewing the agreed subject, schedule, fees, duration, and other service conditions before confirming enrolment.

We may decline or cancel an enquiry or proposed enrolment where we cannot reasonably provide the requested service, subject to applicable law and any refund obligations.

6. Fees and Payments

Fees may vary depending on the subject, academic level, tutor, curriculum, session frequency, course duration, and individual learning requirements.

The applicable fee and payment schedule will be communicated before the customer commits to a paid service.

Unless otherwise agreed in writing:

  • Customers must pay the agreed fees according to the communicated payment schedule.
  • Any applicable registration fees, package charges, or additional costs must be disclosed before the customer commits to them.
  • Customers should retain payment confirmations or receipts for their records.
  • Additional lessons or services outside an agreed package may incur additional charges, which must be agreed upon in advance.

We will communicate any applicable taxes, currency arrangements, or transaction charges before payment where reasonably possible.

We will not intentionally charge customers for services that they have not agreed to purchase, except where otherwise permitted by applicable law or an existing agreement.

7. Cancellations, Rescheduling, and Refunds

The cancellation, rescheduling, missed-session, and refund conditions applicable to a particular service or course will be communicated to the customer before enrolment or payment.

Where a specific written policy has been agreed upon, that policy will apply to the relevant service, subject to applicable law.

Customers should notify the Academy as early as possible if they need to cancel or reschedule a session.

If a tutor is unavailable or the Academy cancels a confirmed session, we will communicate with the customer to arrange an appropriate alternative, such as rescheduling, a replacement session, or a refund where applicable.

If the Academy cannot deliver a paid service, any refund or other remedy will be handled in accordance with the agreed terms and applicable law.

Nothing in these Terms removes any mandatory refund, cancellation, or consumer rights available under applicable law.

Our current policies, including the free first class and our refund policy, are listed on our Fees page.

8. Student and Parent Responsibilities

Students and, where applicable, their parents or guardians agree to:

  • Provide accurate information about the student's academic level, learning needs, and objectives.
  • Attend scheduled sessions on time and participate respectfully.
  • Maintain appropriate behaviour during lessons and communications.
  • Use learning materials only for their intended educational purpose.
  • Avoid harassment, abusive behaviour, discrimination, threats, or other inappropriate conduct.
  • Notify the Academy of relevant scheduling changes or concerns.
  • Protect their account credentials and avoid sharing access without authorization.
  • Follow reasonable instructions relating to online learning, safety, and the use of educational platforms.

Repeated misconduct, disruption, misuse of learning materials, or failure to comply with agreed service conditions may result in a warning, suspension, or termination of services, subject to the circumstances and applicable law.

9. Educational Outcomes and No Guarantee of Results

We aim to provide supportive, structured, and high-quality educational services. However, educational outcomes depend on multiple factors, including student participation, prior knowledge, effort, attendance, practice, assessment conditions, and the requirements of the relevant institution.

Accordingly, we do not guarantee specific grades, examination results, admissions, scholarships, employment, certification, or other academic or professional outcomes.

Any examples of student progress or outcomes published by the Academy must be genuine, appropriately authorized, and not presented as a guarantee of equivalent results for other students.

10. Academic Integrity and Responsible Use

My Subject Hub Academy supports ethical learning and the development of independent knowledge and skills.

Students may receive explanations, tutoring, feedback, debugging support, project planning, and technical guidance. However, our services must not be used to facilitate academic dishonesty.

We do not authorize tutors or students to misrepresent another person's work as their own, engage in plagiarism, impersonate students, cheat in examinations, or violate an educational institution's academic integrity rules.

Project mentoring and technical guidance are intended to help students understand and develop their own work. Students remain responsible for complying with their institution's rules concerning assignments, assessments, artificial intelligence tools, and final-year projects.

11. Tutor Conduct and Learning Environment

We expect tutors working with the Academy to behave professionally, respectfully, and appropriately.

Students and parents should report concerns about teaching quality, conduct, scheduling, or safety through the Academy's official communication channels.

We will review reported concerns and take reasonable steps appropriate to the circumstances. These may include requesting clarification, arranging a discussion, changing a tutor where feasible, or taking further action when necessary.

No provision of these Terms limits any rights or reporting options available under applicable law.

12. Website Content and Intellectual Property

Unless otherwise stated, the Academy's website content, branding, logos, text, graphics, course descriptions, original educational materials, and other original content are owned by or licensed to My Subject Hub Academy.

You must not, without prior permission or another valid legal basis:

  • Copy, republish, sell, or commercially distribute our original materials.
  • Reproduce our branding or represent yourself as affiliated with the Academy.
  • Remove copyright notices or ownership information.
  • Use website content in a manner that infringes intellectual property rights.

Students retain ownership of their own original work, subject to any third-party rights and the rules of their educational institution. Any permitted use of student work by the Academy requires an appropriate legal basis and, where necessary, consent.

13. Acceptable Use of the Website

You agree not to:

  • Use the website for unlawful, fraudulent, abusive, or misleading purposes.
  • Attempt unauthorized access to our systems, accounts, or data.
  • Introduce malicious software or interfere with website security.
  • Submit knowingly false information or impersonate another person.
  • Use our website or services in a way that infringes the rights of others.
  • Scrape, copy, or exploit website content in violation of applicable law or these Terms.

We may restrict access where reasonably necessary to protect users, the Academy, our systems, or our legal rights.

14. Privacy and Personal Information

We may collect and process information that users voluntarily provide through enquiry forms, communications, enrolment, or the delivery of educational services.

Depending on the interaction, this may include names, contact details, academic requirements, scheduling preferences, and information necessary to provide the requested service.

We will use personal information for purposes such as responding to enquiries, arranging tutoring, communicating with students or parents, managing enrolments, providing services, and meeting applicable legal obligations.

Information should be collected and shared only as reasonably necessary for legitimate purposes, with appropriate safeguards and in accordance with applicable privacy laws.

We may use third-party services, such as website hosting, forms, communication platforms, and online meeting tools, to support our operations. Those services may process information under their own terms and privacy practices.

We will not represent that personal information is completely secure or that online transmission is risk-free.

Please refer to our separate Privacy Policy for more information about data collection, use, sharing, retention, and user rights.

15. Online Learning and Third-Party Platforms

Our services may use third-party platforms such as video-conferencing tools, messaging applications, educational websites, or other online services.

Your use of those platforms may be subject to their separate terms and privacy policies.

We are not responsible for interruptions caused by circumstances beyond our reasonable control, including internet outages, device failures, or third-party platform disruptions. We will make reasonable efforts to communicate significant disruptions and arrange alternatives where appropriate.

Students and parents are responsible for maintaining suitable devices, internet access, and a reasonably appropriate learning environment unless otherwise agreed.

16. Communications and WhatsApp

Users may contact the Academy through WhatsApp, email, telephone, website forms, or other published communication channels.

By voluntarily providing contact details, you authorize us to use those details to respond to your enquiry and communicate about relevant services or arrangements.

Marketing communications will be handled in accordance with applicable law. Users may request that non-essential promotional communications stop.

Users should avoid sending unnecessary sensitive personal information through ordinary messaging channels.

17. Suspension and Termination

We may suspend or terminate a service where reasonably necessary because of serious misconduct, unlawful activity, safety concerns, misuse of our services, or a material breach of agreed terms.

Where appropriate, we will communicate the reason and provide an opportunity to resolve the issue.

If a paid service is terminated, any outstanding fees, refunds, or other remedies will be handled according to the applicable service agreement and law. We will not use this section to avoid mandatory legal obligations.

Customers may request to discontinue a service by contacting the Academy and following the applicable cancellation arrangements.

18. Disclaimers and Limitation of Liability

We make reasonable efforts to keep our website information accurate and our services reliable. However, website content may occasionally be incomplete, outdated, or subject to change.

To the extent permitted by applicable law, the Academy is not liable for indirect or consequential losses arising from circumstances beyond its reasonable control or from a user's misuse of the website or services.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including any mandatory consumer rights or liability for matters where exclusion is prohibited by law.

These Terms do not reduce any rights a customer may have under applicable law.

19. Events Beyond Our Control

The Academy will not be considered in breach of these Terms solely because of a delay or interruption caused by circumstances reasonably beyond its control, such as natural disasters, major internet or power outages, public emergencies, or significant third-party service disruptions.

We will make reasonable efforts to communicate material disruptions and, where appropriate, arrange rescheduling, alternative delivery, or another reasonable solution.

This section does not remove any mandatory refund or consumer obligations under applicable law.

20. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services, operations, legal obligations, or business practices.

The updated version will be published on our website or through another appropriate channel, together with a revised “Last Updated” date.

Changes will apply from the stated effective date, subject to applicable law. Where required, we will obtain consent or provide additional notice for material changes affecting existing arrangements.

21. Governing Law and Disputes

These Terms are intended to operate in accordance with the laws applicable to the Academy and the services provided.

Before initiating formal proceedings, users are encouraged to contact the Academy so that the issue can be reviewed and an appropriate resolution explored.

Nothing in this section prevents a user from exercising a legal right, contacting a relevant regulator, or bringing a claim before a competent authority or court where permitted by applicable law.
